Looking at a Mallard Bay alternative?

Mallard Bay is booking software for hunting and fishing outfitters and guides. This page isn't a scorecard. It lays out how HuntingCRM works next to what Mallard Bay says on its own site, so you can decide what fits.

If Mallard Bay already fits how you book, keep it. HuntingCRM is built around the parts of a hunting season that don't fit a standard booking calendar: tag draws, camps with a fixed number of beds, and guides who can only run so many hunters.

The Mallard Bay column below sticks to what Mallard Bay publishes about itself. Where its site doesn't cover something, we say so and suggest you ask them, rather than guessing.

How Clutch City works.

Built with outfitters

HuntingCRM is built with outfitters and powered by Clutch City, by the team behind Hunt Warz.

In build

Openings that tell the truth

A hunt has three limits: tags drawn, beds at the property and hunters your guides can run. Openings are the smallest one that is set, and a blank never reads as full.

In build

Requests, not surprises

Hunters go on as requests until you confirm them, and overbooking is flagged instead of blocked.

See it in practice on our Outfitters & guides page.

Booking In build Hunters go on a hunt as requests, then move to confirmed and deposit paid. You decide who goes. Guests book trips online; quotes turn into bookings when the guest checks out from the quote link.
Payments Payments are tracked on each booking, so you can see who has paid and who still owes. Pay in full, a deposit or a split group payment, with card payments through Stripe. Quick Pay links and tap to pay for in-person payments.
The season In build Every hunt for the season on one board, built from your season sheet by one rule per row (whole season, weekends, 4-day splits). A calendar with two-way Google Calendar and Outlook sync.
Tags and draws In build Tag counts stay blank until the draw. A blank limit is unknown, never full, so beds and guides still set the openings. Not described on the pages we read. Ask Mallard Bay how draw tags are handled.
Lodging and meals In build Beds taken each night and meals planned, from the same bookings. Not described on the pages we read. Ask Mallard Bay.
Overbooking In build Flagged, not blocked, so you can knowingly add one more and sort the lodging. Not described on the pages we read. Ask Mallard Bay.
Waivers and forms Waivers go to the whole group at once. Custom forms and digital waivers.
Finding new hunters Not a marketplace. HuntingCRM works the inquiries you already get, from calls, forms and shows. Trips can be listed on Mallard Bay’s own guided-trips site.
Setup and support Set up with you on a free call with Trent and Jared, then run with you. Most setups go live in about 10 days. Ask Mallard Bay about onboarding for an operation your size.

Tag draws, lodging and meals.

A hunting season doesn't behave like a normal booking calendar. In many draw units you don't know how many tags a hunt has until the draw results come out. Each camp sleeps a fixed number of hunters, each guide can only run so many, and every hunter on the mountain needs three meals a day.

HuntingCRM is built around those limits. A tag count stays blank until you enter it, and blank means unknown, never full. The spots on a hunt are the smallest of the limits you have set: tags drawn, beds at the property and hunters your guides can run. Hunters go on as requests until you confirm them, and overbooking is flagged instead of blocked, so you can knowingly add one more and sort the lodging yourself. Beds taken each night and meals planned come from the same bookings. Most of this is in build, and we'll show you exactly where it stands.

Mallard Bay's site describes a strong booking and payments side: online booking, deposits and split group payments through Stripe, Quick Pay links and tap to pay for in-person payments, two-way Google Calendar and Outlook sync, and custom forms and digital waivers. We didn't find draw tags or lodging limits described on the pages we read, so ask them how they handle those for a season like yours.

If your season runs on draw units and camps with a fixed number of beds, our tag draw page walks through how HuntingCRM handles the months between the application deadline and opening day.

Payments still matter on our side. Deposits are tracked with each booking, and the waiver goes to the whole hunting party at once, so your office isn't chasing signatures the week before opening day. If online booking and paying in person are what you need most, compare that side carefully. If the hard part of your season is knowing how many hunters you can actually take, start with the limits.

What week one looks like.

Example
  1. MondayThe free 30-min call. We go over your units, your season sheet, your camps and your guides.
  2. TuesdayYour season sheet becomes bookable hunts, one rule per row. Anything on the sheet with a question mark comes back to you to confirm.
  3. WednesdayBeds go in for each camp and a limit for each guide. Returning hunters are imported so they are already on file.
  4. ThursdayRequests, confirmations, deposits and the group waiver are set up and tested end to end.
  5. FridayA walkthrough with your office and guides. The first inquiries go on the board as requests.

An example first week. Your timeline is set on the call; most setups go live in about 10 days, and the second week is fixes and fine-tuning.

  2. Does it know how many beds each camp has?
  3. What happens when a hunt is overbooked?
  4. Who sets it up, and who changes it when our season changes?
  5. How long until it is live, and what does training look like?

Questions about switching

Can hunters still pay a deposit?

Yes. Each hunter on a hunt moves from dates requested to confirmed to deposit paid, and payments are tracked on the booking.

How does HuntingCRM handle tag draws?

Tag counts stay blank until you enter them. Blank means unknown, never full, so beds and guides set the openings until the draw results are in. Once you enter the tags drawn, every hunt’s openings update on their own.

What happens when a hunt is overbooked?

It is flagged, not blocked. You can knowingly add one more hunter and sort out the lodging or tags yourself.

How long does switching take?

Most setups go live in about 10 days, depending on how many hunts, guides and booking steps you have.
