Where water treatment jobs leak
Common gaps we hear about from water treatment owners. Most of them happen between the water test and the install.
-
Test requests wait until morning
A homeowner asks about a free water test at night, nobody answers, and they book the company that texted back first.
-
Quotes go quiet after the test
The test is done and the quote goes out, but nobody follows up while they think it over, so the deal goes cold.
-
Financing stalls halfway
The homeowner starts a financing application, gets busy and never finishes it. Nobody notices until the install date is gone.
-
Filter and salt customers drift
No reminder goes out when filters or salt are due, so repeat business goes to whoever is in the store aisle.
Know which ads make you money.
See which ads actually book jobs.
Every lead is tagged by source when it comes in, so each booked job and every dollar traces back to the ad that started it.

Water treatment CRM features that keep every test moving
Each piece is built inside your Clutch City CRM and set up around how you test, quote and install.
-
Free water test booking
Missed calls and form fills get a text back in seconds with open test times, so the homeowner books before they call anyone else.
Open test times

-
Quote follow-up
Quotes that go quiet get timed texts and emails that stop the moment the homeowner replies.
"Hi, it's Mike from ClearFlow Water. Any questions about the softener quote from Saturday? Happy to walk through it."
-
Financing follow-up
When an application is started but not finished, the homeowner gets a friendly nudge and your office gets a task.
-
Filter and salt reminders
Reminders go out on the schedule you set for each system, with a link to order or book a service visit.
-
Referral asks after install
A few weeks after the install, every customer gets the same friendly text asking if they know someone who'd want a free water test.

Water treatment CRM questions owners ask
Can homeowners book a free water test by text?
Yes. A missed call or form fill gets a text back with open test times from your calendar. The homeowner picks one, and it lands on your schedule with their notes.
What happens after the test and the quote?
The lead moves to quote sent, and a timed series of texts and emails follows up. It stops the moment they reply, and you get a task when it's time to call.
Can you follow up on financing?
We can remind homeowners to finish an application and give your office a task when one stalls. The financing itself stays with your lender; we don't handle applications or approvals.
Can it send filter and salt reminders?
Yes. You set the schedule per system, and reminders go out with a link to order or book. You see who responded on your dashboard.
Do we have to switch software to work with you?
Not always. We start by mapping how you book tests and track installs today. If our CRM is the right fit, we move your customers over for you; if parts of your setup should stay, we tell you what can connect.
How long does setup take?
Most setups go live in about 10 days, depending on how many lead sources, calendars and team members you have.
What does gpg mean in water treatment?
Grains per gallon, the usual unit for water hardness. One grain per gallon is about 17.1 parts per million. Water above about 7 gpg is usually called hard.
What is TDS?
Total dissolved solids: everything dissolved in the water, measured in parts per million. A meter gives a quick number, but it doesn't say what the solids are, so it's a starting point, not a diagnosis.
Can the CRM track well water tests?
Yes. Each test result (hardness, TDS, iron, bacteria) is saved on the customer, and a reminder goes out when it's time to test again. The CDC recommends testing a private well at least once a year. How water test booking works
What should I look for in dealer software?
Fast text-back on new leads, a consult form your reps will actually fill in, quote and financing follow-up, and filter and salt reminders after the install. We wrote down the full checklist. Water treatment dealer software: what to look for
