HuntingCRM · tag draws
From the draw to opening day.
If you outfit in draw units, you spend months taking inquiries for hunts whose tag counts you don't know yet. HuntingCRM is built so the season can be planned anyway, and so the draw results slot in without rebuilding anything.
What a draw changes.
In many states, tags for certain units and species are handed out by lottery. Hunters apply, results come out on a set date, and until then nobody knows how many tags a hunt will have. For an outfitter, that means booking conversations start long before the most important number is known.
Most booking calendars assume you know your capacity. A draw-unit season doesn't give you that, so the tool has to treat "not known yet" as its own state.
Before the draw: plan with blanks.
In buildIn HuntingCRM a tag count stays blank until you enter it, and blank means unknown, never full. The spots on a hunt are the smallest of the limits you have set: tags drawn, beds at the property and hunters your guides can run. Before the draw, beds and guides still set the openings, so you can take requests with real limits in place.
Hunters go on a hunt as requests until you confirm them, so an inquiry in March never turns into a promise you can't keep in November.
| Hunt | Tags | Beds | Guides | Requests |
|---|---|---|---|---|
| Unit 44 · Elk rifle | Draw pending | 8 | 2 · up to 6 hunters | 5 |
| Unit 61 · Mule deer | Draw pending | 6 | 1 · up to 4 hunters | 7 |
| Unit 44 · Elk archery | Draw pending | 8 | 2 · up to 6 hunters | 3 |
| Spring bear | 6 | 6 | 2 · up to 6 hunters | 4 |
Blank means unknown, never full. Requests wait until the results are in.
When results come in.
In buildEnter the tags drawn for each hunt and every opening updates on its own. Hunts with more requests than spots are flagged, not blocked, so you can decide who goes, call the rest, or knowingly add one more and sort the lodging yourself.
Because each hunt traces back to the row of your season sheet it came from, you can see exactly which hunts a unit's results affect.
Hunters who don't draw.
What happens to a deposit when a hunter doesn't draw is your policy, not ours. What HuntingCRM does is show you who is affected, so the calls about it get made the week results come out instead of the week before the hunt.
Lodging and meals follow the bookings.
In buildOnce hunters are confirmed, the same bookings tell camp how many beds are taken each night and the cook how many meals to plan: hunters plus their guide, three meals a day, for every day they are on a hunt. Nobody rebuilds the camp schedule by hand after the draw.
Your season sheet, as bookable hunts.
In buildMost outfitters already plan the season on a sheet: units, species, season dates. HuntingCRM turns each row into bookable hunts by one rule (the whole season, weekends, or even splits of a few days each), and every hunt remembers the row and the rule it came from.
Anything on the sheet with a question mark, like dates you haven't confirmed, gets flagged on the board instead of quietly guessed. When the state publishes the next season's dates, you update the sheet and the hunts follow.
A draw season, start to finish.
Every state and unit runs on its own calendar, but the shape of a draw season is usually the same:
- Inquiries and applications. Hunters ask about dates and apply for tags. They go on hunts as requests, with beds and guides setting the openings.
- Draw results. You enter the tags drawn. Openings update, and hunts with more requests than spots are flagged.
- Confirmations and deposits. You confirm who goes, and deposits are tracked on each booking.
- Before the hunt. Waivers go to the whole group at once, and camp and the cook see beds and meals for each night.
What we need from you.
- Your season sheet: units, species and season dates.
- Your camps, and how many hunters each one sleeps.
- Your guides, and how many hunters each can run.
- How you take deposits and handle hunters who don't draw.
Most setups go live in about 10 days, depending on how many hunts, guides and booking steps you have.

Common questions
What is a tag draw?
In many states, tags for certain units and species are handed out by lottery. Hunters apply, and results come out on a set date.
Can I take bookings before the draw?
Yes. Tag counts stay blank until you enter them, beds and guides set the openings in the meantime, and hunters go on as requests until you confirm them.
What happens when I enter the draw results?
Every hunt's openings update. Hunts with more requests than spots are flagged, not blocked.
What about hunters who don't draw?
Your policy decides what happens to the deposit. HuntingCRM shows you who is affected so you can call them.
