Looking at a ServiceTitan alternative?

ServiceTitan is field service management software used by home and commercial service companies, including HVAC. This page isn't a scorecard. It lays out how we work next to what ServiceTitan says on its own site, so you can decide what fits.

If ServiceTitan already fits how you run things, keep it. A lot of HVAC companies run a field service tool for dispatch and technicians and want stronger lead follow-up around it. That's usually where we come in.

The ServiceTitan column below sticks to what ServiceTitan publishes about itself. Where its site doesn't cover something, we say so and suggest you ask them, rather than guessing.

How Clutch City works.

Built around your process

We map how your office books and follows up on a free call, then set it up and run it with you. You are not handed a login and a manual.

In build

Works next to the tools you keep

If your techs live in a job tool you like, the CRM can run alongside it, so a quote sent there still starts follow-up here.

Follow-up that keeps going

New leads get up to 14 call attempts and a final one, each logged with the time, and estimates get a timed follow-up until the homeowner answers.

See it in practice on our HVAC page.

Maintenance agreements and dispatch.

In HVAC, two jobs decide whether a busy month turns into a steady year: dispatch, which gets the right tech to the right house, and maintenance agreements, which put tune-ups on the calendar every spring and fall. They are different problems, and it helps to know which one is costing you more.

ServiceTitan describes its dispatch side in detail on its own site: a drag-and-drop dispatch board, automatic technician assignment, route optimization and capacity planning, plus a technician mobile app for estimates and payments in the home. If dispatch is where your day falls apart, that is what it says it is built around.

Our work sits on the other side of the visit. After the job, a text an hour later asks for a review, and if no review comes in after two days, someone on your team gets a task to call and ask in person. The maintenance agreement goes out by text and email, your rep gets a heads-up the moment the customer opens it, and when they sign it moves along on its own. None of that depends on someone remembering on a Friday afternoon.

Plenty of HVAC companies run both: dispatch and technicians in a field service tool, and lead follow-up, reviews and agreements in the CRM. If that's you, we don't ask you to give anything up. On the free call we look at what the two systems can share so nobody types the same customer twice, and we tell you plainly if your current setup already covers what you need.

Agreements are also where follow-up keeps paying off. Once a customer is on a plan, tune-up reminders go out each season without anyone pulling a list, and when the agreement comes up for renewal, the renewal goes out by text and email the same way the first one did. The customers most likely to renew are the ones who heard from you twice a year.

Where leads come in Calls, web forms, Facebook, Google Ads, door hangers, trade shows and referral partners land in one pipeline, tagged with where they came from. Lists marketing among its platform functions, with campaign tracking in reporting. Ask ServiceTitan how each lead source is followed up.
Working new leads Up to 14 call attempts and a final one, each logged with the time. A missed attempt sends a text and an email. Leads are routed to whoever is on shift. Not described on the pages we read. Ask ServiceTitan.
Estimates Timed texts and emails after a quote, which stop when the homeowner replies. Your comfort advisor gets a task when it is time to call. Good-Better-Best estimates built in the home from the technician mobile app.
Dispatch and technicians Not what we build. Keep your field service tool for dispatch and technicians. Drag-and-drop dispatch board, automatic technician assignment, route optimization and capacity planning.
Pricebook Not what we build. Flat-rate pricebook, with an add-on that ships with pre-built HVAC services.
Payments in the field Not part of what we set up for HVAC. Keep the way your techs take payment today. Card or check payments and signatures collected on site from the mobile app.
After the job A review text an hour after the job, then a call task if no review comes in 2 days. The maintenance agreement goes out, your rep hears when it is opened, and it moves along when signed. Not described on the pages we read. Ask ServiceTitan how review asks and agreements are handled.
Setup and support Set up around your process on a free call with Trent and Jared, then run with you. Most setups go live in about 10 days. Says technicians can learn the mobile app in a day or two of training. Ask about onboarding for a company your size.

Who each is for.

ServiceTitan may fit if you

  • run a dispatch-heavy operation with many technicians in the field
  • want scheduling, the pricebook, in-home estimates and field payments in one system
  • want a flat-rate pricebook inside the same app your technicians use
  • track marketing campaigns inside your field service reporting

Clutch City may fit if you

  • lose jobs between the first call and the booked visit
  • have replacement estimates that go quiet after the quote
  • want reviews and maintenance agreements asked for after every job
  • want it set up and run with you, not handed over as a login
  • plan to keep the job software your techs already use

  2. Map your processWe write down your stages, who handles what, and when each follow-up should go out, in your own words.
  3. Bring your contactsWe export what your current system allows and import it, so past customers and open estimates come with you.
  4. Build the pipeline and follow-upStages, call attempts, text-back, estimate follow-up and the after-the-job asks, set up and tested before anything goes live.
  5. Phones and textingWe connect your numbers and register your business for texting, so messages actually reach people.
  6. Train your officeShort sessions with whoever answers the phones and books visits, using your real leads.
  7. Run it with youWeekly check-ins at first, then changes as you see what fits and what does not.

What week one looks like.

Example
  1. MondayThe free 30-min call. We map how calls come in, who books visits, and what happens after an estimate goes out. You leave with a written plan in plain words.
  2. TuesdayYour contacts come over from the export. Open estimates are tagged so their follow-up starts at the right step instead of from scratch.
  3. WednesdayThe pipeline, the call attempts and the text-back are built. We test every path with our own phones: missed call, no answer, booked visit.
  4. ThursdayTexting registration goes in, and the review and maintenance-agreement asks are written in your voice, not ours.
  5. FridayA short training for whoever answers the phones and books visits. The first real leads run through it while we watch.

An example first week. Your timeline is set on the call; most setups go live in about 10 days, and the second week is fixes and fine-tuning.

Questions to ask any vendor.

  1. Who sets it up, and who changes it when our process changes?
  2. What happens to a lead that calls after hours?
  3. How are open estimates followed up, and when does it stop?
  4. Can it run alongside the job software our techs already use?
  5. How long until it is live, and what does training look like?

Questions about switching

Do I have to stop using ServiceTitan?

No. Many HVAC companies keep their field service tool for dispatch, the pricebook and technicians, and add stronger lead follow-up around it. We set up the lead and follow-up side, and on the call we check what the two systems can share so nobody types the same customer in twice.

What does Clutch City focus on?

The work before and after the job: answering and working every lead, following up on estimates until the homeowner decides, and asking for reviews and maintenance agreements after every visit. We do not build dispatch boards, pricebooks or technician apps.

Will my customer list come with me?

Yes, as far as your current system lets you export it. We check what it exports on the call, then import contacts and open estimates before go-live.

How long does switching take?

Most setups go live in about 10 days, depending on how many phone lines, calendars and people you have.
